ERSG is looking to hire a Crewing Assistant for a global maritime services company in Providence, RI.

Title: Crewing Assistant

Location: Providence, RI

Job type: Contract, full time (on-site)

Duration: 6-12 months with possibility of extensions

Benefits: Eligible for health, dental, and vision insurance and we contribute 75% of those monthly costs and after a 12-month waiting period, you are eligible for a 401K and a 4% match.

Key Responsibilities

• Serve as the main point of contact between crew members, coordinators, managers, and external agencies to ensure smooth, cost-effective operations.
• Maintain accurate crew records, track certifications, and update crewing systems (e.g., OBT/SOMS) to support uninterrupted operations.
• Support the Crewing Manager with sourcing and reviewing candidates, verifying compliance, and ensuring certifications are valid.
• Manage crew schedules, profiles, and assignments, balancing rotations, leave requests, and staffing needs.
• Monitor crew documentation to ensure compliance with offshore and client-specific training, medical fitness, and visa requirements; assist with visa applications and submissions.
• Coordinate travel logistics, including booking flights, arranging transportation, and securing accommodations.
• Prepare accurate crew manifests for US-based vessel operations, liaising with shipping agents and subcontractors to confirm details.
• Identify opportunities to improve processes and share recommendations with the business.
• Provide general support to the Crewing Department as needed.

Job Requirements

• Strong organizational skills with attention to detail.
• Proficiency in crew management systems and general computer skills.
• Excellent communication and interpersonal abilities.
• Ability to perform under pressure, meet tight deadlines, and work flexible hours.
• Knowledge of relevant visa regulations within the offshore/marine industry.
