Job Description

A luxury hospitality firm in Manhattan is seeking an Executive Assistant to support a C-Suite. The ideal candidate will have 5 years of experience supporting a C-Suite executive in a fast-paced environment and will collaborate with other assistants in the role.

Fully Onsite

Hours: 9-5:30

Salary: $100-120K base + benefits and bonus

Responsibilities:

  • Perform administrative tasks and manage executive's correspondence
  • Draft and edit documents, presentations, and reports
  • Prepare daily agenda of all meetings, tasks, and appointments
  • Collaborate with Personal Assistant to prepare social gatherings, philanthropic events, and appointments
  • Manage the reservation requests from VIP clients and prepare a daily report of VIP reservations
  • Provide updates on projects and anticipate potential issues
  • Performs office tasks including maintaining, organizing and filing records/documents & ordering supplies
  • Build and maintain relationships with key stakeholders, including board members, senior executives, and external partners
  • Represent the executive in meetings, conferences, and other events, fostering positive relationships
  • Arrange travel and accommodations for the executive
  • Streamline administrative processes, including implementing and maintaining organizational systems and suggesting improvements
  • Maintain confidentiality of discussions, decisions, and documents
  • Plan and coordinate executive meetings, retreats, and other corporate events
  • Perform additional duties and special projects as assigned by the executive

Requirements:

  • Bachelor’s degree required, with a minimum of 5 years of related administrative experience
  • Proven track record as an executive assistant, ideally within hospitality or other fast-paced environment
  • Exceptional verbal and written communication with a strategic mindset
  • Excellent organizational and multi-tasking skills
  • Ability to edit and proofread important communications
  • A keen sense of confidentiality and discretion
  • Excellent time management and prioritization skills
  • Proficiency with Microsoft Office and Adobe Acrobat
